Terms of Service

Short version: Use ConferencesCost responsibly. Don't abuse the service or use it to break the law. We can update these terms — we'll notify signed-in users of material changes.
1. Acceptance
By installing or using the ConferencesCost Chrome extension, web dashboard, or landing page (collectively, the "Service"), you agree to these Terms of Service. If you don't agree, please don't use the Service.
2. Who we are
The Service is operated by ConferencesCost (hello@conferencescost.com). References to "we", "us", or "our" mean ConferencesCost.
3. What the Service does
ConferencesCost overlays a real-time cost widget on Google Meet, Zoom, Microsoft Teams, and Slack Huddles. Free-tier data is stored locally in your browser. Pro and Team users may sync data to our Supabase backend (EU-hosted) in exchange for features like team dashboards, exports, and Slack notifications.
4. Accounts
- Account creation is only required for Pro and Team features.
- You're responsible for keeping your account credentials secure.
- One person per account. Don't share credentials.
- You must be at least 16 years old (or the minimum age for digital consent in your country) to create an account.
5. Subscriptions and billing
- Paid plans (Pro, Team) are billed monthly or annually via Stripe.
- Prices are displayed in EUR and may include VAT where applicable.
- You can cancel any time from your Stripe billing portal. Cancellation takes effect at the end of the current billing period.
- We offer a 14-day free trial on Pro. You can cancel during the trial at no charge.

6. Acceptable use
You agree not to:
- Reverse-engineer, decompile, or attempt to extract source code beyond what's permitted by applicable law.
- Use the Service to harass, surveil, or monitor employees without their knowledge and consent.
- Abuse rate limits, scrape our backend, or attempt unauthorised access.
- Resell or white-label the Service without a written agreement with us.
- Use the Service for anything illegal.
7. Team data and salary privacy
Team admins can configure member salary rates used for server-side cost calculation. Individual salary amounts are never transmitted to team members' browsers — only aggregated cost amounts are. You represent that you have the right to configure salary data for any person you add as a team member.
8. Third-party services
The Service integrates with third parties including Google Meet, Zoom, Microsoft Teams, Slack, Stripe, Supabase, and optionally LLM providers (OpenAI, Anthropic, Google Gemini). Your use of those services is governed by their own terms. We are not responsible for their behaviour or uptime.
9. Your API keys
If you choose to connect your own LLM API key (OpenAI, Anthropic, Gemini) for AI meeting reviews, that key is stored locally in your browser's Chrome Storage API. We don't have access to it. You're responsible for any usage charges your provider bills you.
10. Intellectual property
The Service, including all code, design, text, and logos, is owned by ConferencesCost and is protected by intellectual property laws. You get a limited, non-exclusive, revocable licence to use the Service during your subscription.
11. Termination
You can stop using the Service at any time by uninstalling the extension and cancelling your subscription. We can suspend or terminate accounts that violate these Terms, with reasonable notice where possible.
12. Disclaimers
The Service is provided "as is", without warranties of any kind. Cost calculations are estimates — they depend on participant counts and hourly rates you provide, and shouldn't be used as the sole basis for financial decisions.
13. Limitation of liability
To the maximum extent permitted by law, ConferencesCost's aggregate liability for any claim arising out of the Service is limited to the amount you paid us in the 12 months preceding the claim. We're not liable for indirect, incidental, or consequential damages.
14. Changes to the Terms
We may update these Terms occasionally. The "Last updated" date at the top of this page will change. For material changes, we'll notify signed-in users by email at least 14 days before the changes take effect.
15. Governing law
These Terms are governed by the laws of Estonia (EU). Any disputes will be resolved in the competent courts of Tallinn, unless consumer protection law in your country of residence requires otherwise.
