Who we are

ConferencesCost is a Chrome extension that shows you the real-time cost of meetings on Google Meet, Zoom, Microsoft Teams, and Slack Huddles. It is operated by ConferencesCost (hello@conferencescost.com).

What data we collect

Free tier (no account)

All data is stored locally in your browser using the Chrome Storage API. Nothing is transmitted to our servers. This includes:

• Meeting duration and start/end times
• Participant count (detected from the meeting page)
• Platform (Google Meet, Zoom, Teams, or Slack)
• Your hourly rate setting and overlay preferences
• Calculated meeting cost (in EUR)

This data is only accessible to the extension on your device. We have no access to it.

Pro/Team tier (signed-in users)

When you create an account and sign in, we additionally collect and store on our servers:

• Your email address and display name
• Your account preferences and subscription status
• Meeting records you choose to sync (same fields as above)
• Slack webhook URLs you configure (stored encrypted)

What we do NOT collect

• The content of your meetings (audio, video, screen, chat)
• Your browser history or activity outside of meeting platforms
• Any data from websites other than Google Meet, Zoom, Teams, and Slack
• Precise location data
• Advertising identifiers

Payments

All payment processing is handled by Stripe. We never see or store your full credit card number. Stripe may store payment information in accordance with their privacy policy.

Analytics

We use PostHog to collect anonymised, aggregated usage data (e.g. how many times the extension popup is opened) to understand how the product is used. This data does not include meeting content or personal information. You can opt out by disabling analytics in the extension settings.

Cookies and local storage

The extension uses Chrome's local storage API to persist your settings and meeting history. The web landing page (conferencescost.com) does not use tracking cookies. If you sign in, an authentication session token is stored in Chrome's secure storage.

Data retention

• Free tier: Data lives on your device until you clear it (Settings → Clear meeting history) or uninstall the extension.
• Pro/Team tier: Account data is retained while your account is active. You can request deletion at any time by emailing hello@conferencescost.com. We will delete all your data within 30 days.

Your rights (GDPR)

If you are based in the European Union or European Economic Area, you have the following rights under the General Data Protection Regulation (GDPR):

• Access: Request a copy of the personal data we hold about you.
• Rectification: Ask us to correct inaccurate data.
• Erasure: Request deletion of your personal data ("right to be forgotten").
• Portability: Request your data in a machine-readable format.
• Objection: Object to certain types of processing.
• Withdraw consent: You may withdraw consent at any time where processing is based on consent.

Data transfers

For signed-in users, meeting data is stored in the SerpControl app database. We do not transfer personal data outside the EEA without appropriate safeguards.

Third-party services

We use the following third-party services:

• SerpControl — Account authentication, connected-app access, and meeting sync.
• Stripe — Payment processing. Privacy policy
• PostHog — Anonymised analytics. Privacy policy

Children's privacy

ConferencesCost is designed for professional use and is not directed at children under 13. We do not knowingly collect personal information from children.

Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will be revised. We will notify signed-in users of material changes by email.
